Policies
Rental & Driving Requirements
(hereinafter referred to as The Company):

- Renter(s) must be at least twenty five (25) years of age.
- Renters twenty-one (21) to twenty four (24) will be assessed a $100 non-refundable processing fee and meet additional underwriting requirements
- Renter(s) must have a valid U.S. driver’s license. We must get a copy of the license. International renters may be facilitated, please check, a copy of a passport and additional underwriting procedures will be required.
- Renter(s) must have valid automobile insurance coverage with proper (vehicle specific) limits, and adequate liability insurance. Coverage will be confirmed and verified by our agents. The renter's insurance is the primary coverage for any damages to the vehicle while in the renter's possession. Failure to verify insurance will result in cancellation of rental reservation with applicable charges.
- We reserve the right to perform a 50 state background and driving record check of any applicant or to request a credit report, as part of our approval process, at our expense.
- Driver must have a valid major credit card for purposes of deposit, rental, fuel, damage, and any other charges. All charges will be processed, not just reserved, and credits will be issued when applicable. All rentals must be paid for by credit card.
Fuel Requirement
- Vehicles are to be returned with the gas gauge registering the same or greater level than when received by the renter. The vehicle must be filled with the required 91 octane (premium) fuel (unless otherwise specified or diesel powered). A refueling charge will be applicable for any car returned without the proper fuel level. We charge the actual fuel cost, plus a $20.00 service fee. Customers that refill any vehicle with lower octane fuel shall be responsible for any damage, including indemnifications for future damages in the event a vehicleÕs warranty is cancelled as a result of the lower octane fuel.
Special Services
- We will deliver and pick up (in most cases) most vehicles at no extra charge to most major area airports and hotels and other convenient locations, except as noted. We also offer free delivery to hotels that we share a marketing agreement with. Residential and other commercial deliveries may be available by request. Please contact us for details. In the DFW area there is a $500.00 minimum rental for free pickup and delivery as noted above. Generally, if the rental is less than $500, Delivery is $100 for the first 30 miles, as shown in the delivery calculator on the web site, each way. The price shown in the calculator applies past the 30 miles. If your rental is less than this amount, please inquire about rates, or make arrangements to pick up and return your rental to our conveniently located office. If you are a guest at a hotel that is not a marketing partner, please inquire at the concierge desk about our services.
- One way rentals from the DFW-Metroplex to specified locations may be available for an extra charge of $4.00 per mile roundtrip (to and from vehicle location), when planned and approved in advance.
- When we deliver and pickup up a vehicle, we attempt to use a trailer, due to high costs of operation for our high-line cars. In the event we are unable to use a trailer, mileage for the delivery and pickup is calculated from our facility as part of the mileage allowed for the rental.
- Chauffeur services may be available at an extra charge, or we may be able to recommend a service such as My Private Driver.com (www.myprivatedriver.com). Please contact us with your needs.
- Vehicle rentals are also available in Houston, San Antonio and Austin. We will deliver and pick up a vehicle with a three (3) day minimum rental charge of at least $2,000. On rental amounts of less than $2,000, please inquire about delivery and pickup charges. Out of town rentals are generally not discounted, and we reserve the right to refuse coupons, discounts and other offers.
- GPS devices may be preprogrammed in advance with your destination(s). Please let us know if we can provide this service for you at least 72 hours in advance.
- GPS navigation systems- Some of our vehicles are not equipped with an OEM GPS navigation system. However, portable GPS systems may be obtained at the counter when you rent your vehicle. The rental fee is $10.00 per day. However, if you do not book in advance, the availability of a GPS device is not guaranteed. GPS systems may only be rented if you are renting a vehicle from us. Some of our portable GPS units will play MP3s; just bring your tunes with you on your thumb drive!
- 24/7 roadside assistance - DFW Elite Auto Rental offers 24/7 roadside service. Our contracted service is available whenever needed to answer questions about cars, report accidents, or to help with problems. Generally speaking, the support personnel can even provide a replacement key, a quick jump start, or whatever is needed to make your rental experience as pleasant as possible.
- All of our vehicles have automated toll tag passes. Toll charges in the DFW Metroplex are complimentary.
Additional Items
- Additional drivers may be added at an additional charge of $50.00 each and must meet the same requirements as the driver (including minimum age, driver’s license, and insurance.)
- The state of Texas requires seat belts for drivers and front passengers. Children under the age of five (5) and/or under 36 inches in height are required to be secured in an approved safety seat. Renter is responsible for furnishing the approved safety seat.
- Renter(s) and driver(s) must drive safely and responsibly.
- Discount and coupon policy - At time of rental, renters may be eligible for coupon or volume discounts or other special offers based on rental dates and current pricing. In the event you book multiple days or extend your rental as you are having so much fun we offer multiple day discounts. The more fun you have the more you save! Enjoy the vehicle for four days and receive 5% off our daily rental price. Enjoy the vehicle for 5-9 days and receive 10% off our daily rental price. Enjoy 10 or more days and receive 15% off the daily rental price. Call for discounts on longer rental periods. You will always receive the lowest single discounted price - discounts may not be combined nor will they change required deposits. Out of town rentals are generally not discounted, and we reserve the right to refuse coupons, discounts and other offers. If additional days are needed, or you need repeated use, please contact our car club manager for information about joining the car club.
- Discounts, coupons and other special offers may not be combined and do not reduce deposit requirements. The discount, coupon or offer resulting in the lowest price to the renter during the rental period will be automatically applied. Discounts and special offers while subject to change without prior notice are honored for holding or confirmed reservations.
- All rentals are subject to a State of Texas Rental Tax of 10%. Classic cars generally require 2 day rentals. Please inquire if you need them for an event, a static display, or a shorter period of time, we do make exceptions. Due to the complex controls and other factors, we generally require that the renter receive orientation at our facility at or before time of rental. Pickup and/or delivery may be additional cost on classics, please inquire.
Driving Area Limitations & Mileage Considerations
- Vehicles may only be driven within a 150 mile radius of the Dallas Fort Worth Metroplex (unless otherwise approved by the DFW Elite Auto Rental.com (hereinafter referred to as The Company).
- Vehicle rental rates are applied for each day of the car rental including mileage as shown on the web site. Additional mile charges are applicable to specific vehicles (see vehicle rates on the web site for specific vehicle mileage charges).
- Vehicles are not allowed out of the state of Texas without prior approval of The Company. Approval may be withheld at The Company’s sole discretion.
- The Company reserves the right to utilize GPS tracking. Tracking will be used for security purposes only and will not be divulged to a third party, except by court order.
- Customers requiring excess mileage are allowed to purchase miles in advance, in blocks of 100, at a 30% discount from the posted rate on the web site. Mileage discounts and or blocks are not allowed after the rental begins, and unused miles are not refunded.
Restrictions of Operation
- Vehicle may not be operated by anyone who has not been approved and listed by us, or is not licensed to drive, or whose license has been suspended or restricted.
- Vehicle may not be used for any purpose in violation of state or federal laws.
- Vehicle may not be used for commercial purposes such as towing, for hire services, or any use not approved by The Company.
- Use of vehicle for speed tests, speed contests, street races, rally and speed endurance contests is strictly prohibited.
- Vehicles are not approved for off-road use.
- The Company prohibits smoking in rental vehicles. If a car is returned smelling of smoke, there will be a $250 cleaning fee as well as charges for any other damage to the interior.
- In the event of a violation of the rental agreement, we reserve the right to remotely disable and retrieve the vehicle. Full rental fee as well as pick up and delivery charges will apply in the event of such action.
Damage Policies and Deposits
- A deposit equal to one (1) day’s rental rate, or half of the total expected rental amount, whichever is greater, will be required. Any damages or other charges will be deducted from this deposit. In the event of damage or other charges in excess of the deposit, the cost(s) will be charged to the renter, and those charges will be processed on the renter’s credit card, and/or billed to the customer. Damage deposits WILL NOT be applied to rentals, but will be refunded if there is no damage.
- Renter is responsible for all loss of use (unless caused by us or our agents), parking, traffic, and speeding tickets as well as any violations issued while the vehicle is being rented under the rental agreement and must pay for any fees, penalties, towing charges, storage or impound costs if the costs were incurred during the rental period. We reserve the right to hold security deposits for a period not to exceed 30 days following completion of rental or for an extended period if damage estimates are not able to be accurately determined within the 30 day period. Such items, if billed to The Company or discovered after the rental has been concluded, will be billed to the renter and/or charged to the renter’s credit card (in our sole discretion) and are due in full upon receipt. A $50 processing fee will be added.
- In the event the vehicle becomes inoperable during the renter’s care and custody (unless caused by us or our agents), causing loss of use, no credit will be issued for rental time lost. We may but are not required to provide a replacement unit if practical, and delivery, pickup and other charges caused as a result of the inoperable condition will be the renter’s responsibility.
- Renter is responsible for all damage to the vehicle while in renter’s care, custody, and control, regardless of fault, including acts of nature or acts of god. This includes damage to tires, rims, minor scuffs, dents and dings. All costs of damages are the renter’s responsibility, regardless of whether renter’s insurance pays for said damage. In the event the renter’s insurance has not paid for the damage within 30 days of rental, we reserve the right to charge renter’s credit card, and/or require payment from the renter. We do not offer a waiver or other coverages.
- Many of the late model cars have on board OEM computers that track and record all vehicle functions. Dealers routinely print out these logs if there are warranty claims, and can locate time and date of engine over revs, speed, gear selected, and convertible tops being lowered or raised while vehicle is moving, and other critical functions. Damages caused while in renter's possession due to such abuses will be the renters responsibility.
- Final check-in and inspection of damage occurs within 48 hours of the vehicles return to our facility. Customer will be notified as soon as practical of any damages found.
- Customers requiring offsite delivery and pickup of vehicle should note that the final check in and inspection for damage, as well as mileage and fuel level verification will occur at our facility, not at pick up point, generally within. Our drivers can sign acknowledging pickup, but are not qualified to complete the check in process. CUSTOMER ACKOWLEDGES AND AUTHORIZES THAT DAMAGES AND OTHER COSTS DUE UNDER OUR TERMS WILL BE CHARGED TO THEIR CREDIT CARD UPON COMPLETION OF CHECK IN.
Cancellations
- Upon confirmation of reservation, The Company will charge the renter’s credit card for 50% of the total rental cost or one day’s rental, whichever is greater.
- Cancellation fees are as follows and are the responsibility of the renter:
- 72 hours or more before the date of rental: $100.00 charge.
- Less than 72 hours before the date of rental: One day rental charge.
- On rentals out of the DFW area, the renter will also be responsible for all delivery and pickup charges, if performed. If the rental days out of town fall below the company’s minimum charge for out of area rentals, the customer will be responsible for delivery and pickup charges not to exceed $2.00 per Mile. To protect your rental interests, we offer "bad weather" protection for an extra 10% of the total rental cost. For example, on a $500 per day rental, bad weather protection costs $50. This protection must be purchased at time of rental, and we highly recommend it in order to minimize disappointments due to weather and costs related to early cancellation. Reservations can be cancelled in a 48 hour window prior to scheduled inception of rental, if weather protection was purchased, with no penalty. All charges will be refunded, other than the Weather protection charge. Bad weather coverage will not be used for interruption or cancellation of rentals for reasons other than bad weather. The definition of bad weather shall be at the sole discretion of The Company, but is generally defined as ice, snow, freezing rain, and may include heavy rains during the rental period.
- In the event of rescheduling permitted by us, the charge amount will be a "rental credit" applicable toward a future reservation, unless bad weather protection was purchased and applicable to the rescheduling.
Delivery Service
We offer complimentary delivery within 30 miles of our showroom, including DFW International Airport and hotels that partner with us in Dallas and Tarrant Counties. Enter the postal code where you want the vehicle delivered and/or picked up to determine if you are within our delivery area or to calculate the cost of these services. The amount shown is for pickup and delivery. Please inquire of your hotel if you are staying at a one in the DFW area, we have complimentary pick and delivery arrangements at those hotels that are our partners. If they aren't a partner, ask them to contact us!
Idemnification
RENTER AGREES TO INDEMNIFY AND HOLD COMPANY AND ITS AFFILIATED COMPANIES AND THEIR AGENTS, SERVANTS, DIRECTORS, OFFICERS, SHAREHOLDERS, MEMBERS, MANAGERS, AND EMPLOYEES (COLLECTIVELY CALLED "INDEMNITEES") HARMLESS FROM AND AGAINST ANY AND ALL LIABILITIES, LOSSES, DAMAGES, LIENS, CLAIMS, SUITS, CAUSES OF ACTION, COSTS (INCLUDING COURT COSTS, ATTORNEY'S FEES AND COSTS OF INVESTIGATION), AND ACTIONS OF ANY KIND ARISING OUT OF, CAUSED BY, RESULTING FROM OR ALLEGED TO ARISE BY REASON OF INJURY TO OR DEATH OF ANY PERSON OR DAMAGE TO OR LOSS OF PROPERTY OCCURRING OR BY REASON OF ANY OTHER CLAIM WHATSOEVER OF ANY PERSON OR PARTY OCCASIONED OR ALLEGED TO BE OCCASIONED IN WHOLE OR IN PART BY ANY ACT OR OMISSION ON THE PART OF RENTER OR ANY OTHER PERSON DRIVING THE VEHICLE DURING THE TIME RENTER IS RENTING THE VEHICLE.
Waiver of Liability
NO INDEMNITEE SHALL BE LIABLE IN ANY MANNER TO RENTER OR ANY OTHER PARTY FOR ANY INJURY TO OR DEATH OF PERSONS UNLESS CAUSED SOLELY BY THE WILLFUL MISCONDUCT OR GROSS NEGLIGENCE OF AN INDEMNITEE. ALL PERSONAL PROPERTY OF RENTER SHALL BE AT THE RISK OF RENTER, AND COMPANY SHALL NOT BE LIABLE FOR ANY LOSS OF OR DAMAGE TO PROPERTY OF RENTER OR ANY OTHER PERSON WHO DRIVES OR RIDES IN THE VEHICLE.
